Setting Patrons to Do Not Call

  • *** You should only use this option if your caller has not selected the patron for "Do Not Call" during the call itself.
  • 1) First you must click on the Pool Definition area and find the patron. You must narrow it down to one, and one only. The best thing is probably to search by the phone number first.
  • 2) Click "Include Dialed Leads" since it's likely you have already dialed the person and have not placed them back in the pool.
  • 3) Add "1" to the "#To Assign" field, and click "Do Not Call"
  • TIP: Use the "Add Fields" area to include specifics in your search results!
  • WARNING: If you have NOT narrowed this down to one lead, and you put a "1" in one field and leave others, it WILL place ALL of them in the Do Not Call list!

When you need to change a patron to a Do not Call, and you can not find the patron within the Pool Definition form, the following are the procedures to follow...

Depending on when this person was called:
1) Was it the day that you are currently searching for the patron?
Or
2) Was the patron called within the last week or so?

If 1) You will need to Wait until the following day, in order to change the status!

If 2), you should search for the patron with the following criteria:

  • Patron Id
  • Or Phone Number
  • Include All Dialed Leads

On the Add Fields (These are to confirm the patron):

  • First Name
  • Last Name
  • Patron id
  • Phone
  • Last Status

Enter a 1 in the # of leads and Click Do Not Call.
In addition you should also check the call back manager on the Pool Management form:

  • Go to the edit pending callbacks option
  • Enter the Patron Id
  • Search.
  • If the Patron is in a caller’s call backs, release the patron to pools.
  • Go to the pool definition and then follow the above instructions

If you have tried two consecutive days then you can be sure that you will not be able to pool the patron again. This may be due to several conditions:

1) The Patron has been suppressed as a Do Not Call by the caller already
2)The Patron is no longer available due to the date matrix
3)Or a combination of both.

You should create and maintain a list of patron’s in Excel for us to verify the DNC Status.
This list should be emailed to data@dcmtm.com on a bi-weekly or monthly basis and IT will then run a query to verify the status of the patrons on the list.
